Accountant

Accountants review collections, reconcile UPI and prepare finance/GST reports without clinical access.

Who this is for​

Clinic CA, finance executive or back-office person who checks money but should not register patients or write clinical data.

What you can access​

ACCOUNTANT includes settings.read, dashboard.operations, finance.read, reports.financial and finance.reconcile. It does not include patient creation, appointments, queue, billing creation, refunds, clinical records, prescriptions or document vault access.

Daily workflows​

1. Review collections​

  1. Open Dashboard (/app/dashboard). Result: you see the operations summary.
  2. Open Financials - Overview (/app/financial-dashboard). Result: revenue, expenses, due amounts and branch movement are visible.
  3. Open Transactions (/app/finance). Result: payment and expense entries are available for checking.

2. Reconcile UPI​

  1. Open Cash Closing (/app/revenue/cash-closing) if the Revenue Cycle module is enabled.
  2. Go to Unreconciled UPI payments.
  3. Match the bank statement, enter UTR / reference, and click Reconcile. Result: payment is marked reconciled and the UTR cannot be reused.
  4. If the counter amount is wrong, ask the branch manager or owner to Reopen the closing. Tip: do not edit old payments without a reason.

3. Check GST reports and credit notes​

  1. Open Reports (/app/reports). Result: financial reports are visible to the Accountant role.
  2. Review GST categories and invoice treatment with the owner in Settings -> GST & Tax.
  3. Review Credit notes with the branch manager or owner; Accountant alone does not issue refunds.

4. Month end​

  1. Use Reports for date-range revenue and expense summaries.
  2. Ask the owner to use /app/data/export when R1 export screens ship.
  3. Store CSVs only in approved clinic storage. Result: accounting can happen without broad PHI access.

First-day checklist​

  1. Confirm you can open Finance, Financials - Overview and Reports.
  2. Reconcile one test UPI payment.
  3. Review GST profile and service tax categories with the owner.
  4. Confirm who approves cash closings and credit notes.
  5. Agree where month-end exports are stored.
